How a custom-tour agency replaced Excel and WhatsApp with one enquiry-to-invoice platform: guided quoting with automatic GST/TCS, branded quote links, auto operations and invoicing in one place.
The Problem
This travel agency built every custom tour package by hand. Quotations started as blank Excel sheets and went out over WhatsApp, so no two looked the same and nobody was ever sure which version was final. A single multi-city itinerary, with hotels, transfers, flights, GST and TCS, could take a couple of hours to price while the customer waited. Enquiries lived in inboxes and chat threads, follow-ups slipped through, and invoices and vouchers were typed out by hand with payments tracked in bits and pieces.
The Solution
The agency moved its entire back office onto Pravas-Soft, one platform that runs the full journey from enquiry to invoice. A guided, step-by-step wizard replaced the blank spreadsheet: customer details, the day-by-day itinerary, hotels and meal plans, transport, sightseeing and costing, with GST and TCS applied automatically and totals that add themselves up. The team can hold several itineraries or revisions per enquiry side by side and mark one active, and share each quote as a clean, branded web page secured by simple mobile verification. Once an enquiry is confirmed, the system creates the operational tasks on its own, one for each hotel and transit booking, on a task board so nothing is forgotten. Invoices, payments and auto-numbered vouchers all flow from the same confirmed enquiry, and WhatsApp Business conversations happen inside the same system.
